How Does a Taxpayer Apply for an ITIN?

  • Complete and submit Form W-7 (Application for IRS Individual Taxpayer Identification Number)
  • Mail the completed W-7 application and the original supporting documentation to substantiate the individual’s “identity” and “foreign status.” This is the scary part about relinquishing your passports and original birth certificates.

What Documentation is Required When Applying for an ITIN?

To apply for a Form W-7, you must provide specific documentation to verify your identity and foreign status. The requirements include:

  • 1. Completed U.S. Federal Income Tax Return: In most cases, you must include a valid U.S. federal income tax return unless you renew an existing ITIN or meet an exception to the filing requirement.
    • If an exception applies, you must provide the necessary documentation to support that exception.
  • Documents Required: Passports, national identification cards, birth certificates, school records, or medical records can be used. All documents you provide to the IRS must be current:

 

  • 1. Birth Certificates: They are considered current since they do not have expiration dates.
  • 2. Passports and National Identification Cards: These are considered current as long as they have not expired as of the date the Form W-7 is submitted.
  • 3. School Records: Accepted as long as they are for a term ending at most 12 months before the Form W-7 application date. The record must include the student’s name, coursework with grades, the grading period, and the school’s name and address. A school or ministry official should sign it.
  • 4. Medical Records: This is valid only for dependents under age 6. When applying for an ITIN, you must provide a completed U.S. Federal Income Tax Return unless you renew an existing ITIN or meet an exception to the filing requirement. If an exception applies, you must provide the necessary documentation to support that exception.
